The Administrative Officer is a multifaceted role responsible for overseeing office operations, providing administrative support across various departments, and contributing to basic bookkeeping tasks.

Additionally, this role involves serving as a personal assistant to senior executives, managing their schedules, and assisting with personal matters.

The successful candidate will excel in organization, communication, and time management, ensuring the smooth functioning of both office and personal affairs, and contributing to the overall efficiency and success of the company.

The ideal candidate will be business savvy and solution-oriented, great at communicating with people at all levels to provide professional support to the company.

  • Office Management:
    • Oversee daily office operations and ensure a clean, organized, and well-maintained workspace.
    • Manage office supplies, equipment, and inventory, and reorder as needed.
    • Coordinate with vendors and service providers for office maintenance.
  • Administrative Support:
    • Prepare and distribute memos, reports, and other documents as needed.
    • Maintain and update company files and records.
  • Human Resources Support:
    • Assist HR department in onboarding new employees and maintaining personnel records.
    • Help organize company events, meetings, and training sessions.
    • Assist with HR-related paperwork, such as benefits enrollment and payroll.
  • Data Entry and Reporting:
    • Input data into company databases and generate reports as needed.
    • Ensure data accuracy and integrity.
  • Basic Bookkeeping:
    • Assist the accountant in maintaining accurate financial records, including accounts payable and receivable.
    • Record and reconcile financial transactions in the respective database.
    • Prepare financial reports and summaries as requested by the accountant.
    • Collaborate with the accountant to ensure timely and accurate financial data
  • Personal Assistant Tasks:
    • Provide personal assistance to senior executives, including managing their calendars, making travel arrangements, expenses reports
    • Help with personal errands and tasks as required by senior executives.
  • Maintain an organized filing system that allows for easy retrieval of documents, resulting in a 15% reduction in search time.
  • Maintain a data entry accuracy rate of 98% or higher, ensuring reliable data for decision-making.
  • Generate weekly reports with key performance indicators (KPIs) for review by executives.
  • High school diploma or equivalent; associate’s degree or higher preferred.
  • Proven experience in administrative roles, preferably with at least 3 years of experience.
  • Proficiency in Google Workspace.
  • Basic bookkeeping skills, including experience with financial record-keeping and familiarity with accounting software.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving abilities.
  • High Cantonese fluency is a must, Mandarin and English proficiency is preferred
